This Privacy Policy explains how [COMPANY LEGAL NAME] ([COMPANY FORM], Switzerland) (“COA-CH”, “we”, “us”) collects, uses, shares, and protects your information when you use the COA-CH coaching platform at getcoachai.app and our mobile apps (together, the “Service”). We are committed to handling your data in line with the Swiss Federal Act on Data Protection (FADP) and, where applicable, the EU/UK GDPR.

1. Information we collect

Depending on how you use the Service, we collect:

• Account data: name, email, password (hashed), role (coach or client), profile photo.
• Health & fitness data you provide: age, gender, weight, height, goals, activity level, dietary restrictions, workout and meal logs, weight history, check-ins, and progress metrics.
• Coaching data: coach–client relationships, assigned plans, messages, and appointments.
• Payment data: processed by our payment provider (Stripe). We do not store full card numbers on our servers.
• Usage & device data: IP address, browser/device type, pages viewed, and diagnostic logs.

2. How we use your information

• To provide the Service: create accounts, connect coaches and clients, generate and assign plans, and track progress.
• To power AI features: generating workout and meal plans (see “AI” below).
• To process payments, subscriptions, and (where applicable) coach payouts and commissions.
• To communicate with you: service messages, security alerts, and support.
• To secure the Service, prevent abuse, and comply with legal obligations.

3. AI processing

Some features use third-party AI models (currently OpenAI) to generate workout and meal plans. When you use these features, the relevant inputs (such as goals, restrictions, and profile attributes) are sent to the AI provider to produce your plan. We do not sell your data, and we instruct providers to process it only to deliver the requested result.

4. How we share information

• With your coach or clients: if you are a client, your assigned coach can see the coaching data relevant to your plans and progress, and vice versa.
• Service providers (processors): hosting, payment processing (Stripe), AI processing (OpenAI), email/notifications, and analytics — bound by contract to protect your data.
• Legal: when required by law or to protect rights, safety, and security.

We do not sell your personal data.

5. Data retention

We keep your data for as long as your account is active and as needed to provide the Service, then delete or anonymise it within a reasonable period, unless a longer retention is required by law (e.g. financial records). You can request deletion at any time (see your rights below).

6. Your rights

Subject to applicable law, you may request access to, correction of, or deletion of your personal data, object to or restrict certain processing, and request a copy of your data in a portable format. To exercise these rights, contact support@getcoachai.app. You may also lodge a complaint with your local data protection authority.

7. Security

We use industry-standard measures (encryption in transit, hashed passwords, access controls) to protect your data. No method of transmission or storage is 100% secure, but we work to protect your information and notify you of material breaches where required.

8. International transfers

We are based in Switzerland. Your data may be processed by providers in other countries (including the EU and the US) under appropriate safeguards such as standard contractual clauses.

9. Children

The Service is not directed to children under 16. If you believe a child has provided us data, contact us and we will delete it.
